Office Manager

Position: Office Manager (Maternity Cover)
Location: Cambridge
Type: Full Time (1 year contract)

About the role:

The role will see you based in the office, leading the administration team and reporting to the Director of Ecology.

Your main duties will include:

- Provide support to the Directors and staff to ensure the smooth running of administration for the Ecology teams across England and Wales.
- Management of the monthly invoicing processes: internal & external.
- Liaison with accounts team on accounts queries, including accruals, provisions etc.
- Management of the timesheets and expenses.
- Management of HR related processes.
- Management of all suppliers, sub-consultants and purchases.
- Monitoring of the Project Reporting System; Cash Order Book, Prospects, Accrued Revenue, Debtors.
- Liaison with Project Managers on project finances.
- Monthly Reports; finance & H&S.
- Attending Ecology Management Meetings.
- Ensuring staff training and records are up to date.
- Monitoring of H&S processes; lone working system, accidents & near misses.
- The implementation of the Integrated Management System, and undertaking duties and responsibilities as required, including internal audits.
- Maintenance of office facilities.

The skills and experience you will need to have:

- Previous office-based administration experience
- Excellent interpersonal and communication skills
- Ability to lead a team, co-ordinate and organise others
- Efficiency, accuracy and attention to detail
- Self-motivated and willing to take initiative
- Aptitude to work without direct supervision
- Strong organisational skills
- Excellent IT skills including Excel, Word, Outlook, PowerPoint and Internet
- Confident when dealing with Senior staff, Head Office and external clients etc
- Ability to manage and prioritise workloads and daily tasks, while meeting the required deadlines
