Administrator - Mansfield

As an Administrator this role will see you being based from our Mansfield office on a permanent full-time basis. You will be responsible for ensuring all aspects of the service delivery to your allocated clients, run smoothly day to day, follow set procedures and are in line with the set KPI?s. Keeping the customer in mind always and strive to proactively address their concerns and needs.

Main responsibilities:

? Answer all incoming communications from external & internal clients, suppliers and the wider OH team
? Book and confirm client appointments internally and externally
? Use and understand eOPAS:
o To schedule all appointments
o Limit blockings
o Run a case tracker to manage the closure
o Manage the diary of clinical teams
o Keep relevant parties informed of any changes or free slots
? Monitor, produce and add client charges to all invoices in a timely manor
? Inform 3rd parties of PO numbers where applicable
? Produce Management Information for Clients that sit under your responsibility
? Oversee the logistics of client contracts including booking rooms if required, liaise with person responsible for scheduling or recruitment for resource and clinical colleagues for procedure to ensure all KPI?s are met
? Input weekly electronic timesheets (RPS system Sharpowl) accurately
? Perform routine administrative tasks (including dealing with incoming and outgoing post, operation of standard office equipment etc.)
? Undertake other ad-hoc tasks and projects as required to ensure the smooth running of the RPS Occupational Health offices

Skills, experience & qualifications required:

? Prior strong office based administrative experience
? Competent user of the complete Microsoft office package and able to complete Pivot and vlookups
? Excellent organisation, verbal, written and interpersonal skills
? High degree of attention to detail, time management and self-motivation
? Able to work as part of a team as well as independently
