This role will see you completing all office administration support for the technical personnel based in Northwich, whilst liaising on a weekly basis with the Energy head office in Woking, for accounts and other processes.

Main responsibilities:

General office:
• Maintaining the training matrix
• Answer the phone
• Order office supplies
• Point of contact with the utilities companies
• Liaise with RPS Woking on health & safety, travel and other group wide processes/procedures
• Perform internal audits as per the ISO schedule
• Record and track environmental readings, to compile reports and graphs for ISO audits
• Ensure that the office conforms to the ISO procedures daily

Operational support to technical staff:
• Liaise with the relevant project manager to create new job records (with the RPS internal system Sharpowl)
• Maintain and update all client and job records
• Generate and process invoicing
• Process receipts/expenses/overtime/timesheets for technical personnel

• Checking the credit statement with receipts. Scanning and keep records. Processing payment
• Keep records of all client invoices and run reports for overdue payments/accounts queries/client queries
• Point of contact for RPS Woking accounts, RPS Head office accounts and client contacts
• Run PDR’s

Norway tax
• run reports on who completed travel there each month and time spent, checking against timesheets
• Inputting all data on the Input sheet and sending through to RPS Woking accounts
• Check expiry dates for various documents and submit any information needed to payroll

Skills & Requirements:
• Previous office based administration experience
• Able to multi task and methodical
• Competent user of the complete MS package
• Extensive skills using MS Excel
• Flexible and methodical approach to all work tasks

• experience of ISO audits would be advantageous but not essential
• experience of basic accounting
