In particular, we are looking for an Administrator to join the Team in our Cardiff office, providing general office support to directors and consultants.

A brief outline of the duties is as follows:-

• Typing/formatting letters, reports and other documents
• Copying and binding documents
• Support using other applications (Excel, Powerpoint)
• Reception duties including meet and greet
• Maintaining outlook diaries and the weekly movements sheet for the team
• Telephones – answer/field incoming calls and direct them to the appropriate person, taking messages where necessary
• Maintaining the office diary, including setting-up refreshments / lunch where required
• Ordering and maintaining required levels of office stationery
• Preparing conference rooms for meetings, refreshments
• Maintaining the local office computer directory and contact lists
• Make travel arrangements for staff and visitors as required
• Ensuring that quality related documents are kept up to date and accurate both manually and electronically
• Assisting the Office Manager in responding to maintenance and issues relating to health and safety of the Cardiff office, including: fire, first aid, lone workers, DSE, manual handling, risk assessment and accident reporting
• Assisting Directors and Consultants as required
• Marketing – formatting letters and arranging mail-merge before mailing out
• Processing cheque requests for projects and marketing tasks following Head Office systems
• Preparing credit checks to check the financial viability of clients in order to set-up new projects
• Assisting the Office Manager by producing and circulating project financial reports from the sharpowl system
• Production of internal and external invoices on a monthly basis
• Issuing purchase orders, checking and processing supplier invoices for payment in line with month end deadlines
• Supporting the Office Manager in reviewing project finances and debtors
• Processing staff expenses in line with monthly financial deadlines
